1. Who is responsible

This policy explains how Друштво за менаџмент и бизнис консалтинг ПРОБИС-КОНСАЛТ ДООЕЛ Скопје (PROBIS-KONSALT DOOEL Skopje), EMBS 7513615, EDB 4057021555700, ul. Dragutin Avramovski Gute 32, Karposh, 1000 Skopje, North Macedonia (“we”, “us”) handles personal data when you visit directbookingexperts.co, contact us or buy the Direct Booking Engine. We are the controller of that data. You can reach us at contact@directbookingexperts.co.

We are based in the Republic of North Macedonia. Because we offer our service to people in the European Union and elsewhere, we apply the EU General Data Protection Regulation (GDPR) and the data protection law of North Macedonia, which follows the same principles.

2. What we collect and why

Contact form and email. When you send us your listing through the form or write to us, we receive your name, email address, property name, the link to your listing and anything you write in the message. We use it to reply, prepare your mockup and commission numbers and, if you go ahead, to run your project. Legal basis: steps taken at your request before entering into a contract, and our legitimate interest in answering enquiries. The form is delivered to our inbox through an email relay we operate on Amazon Web Services.

Purchases. When you order, we collect your name, email, the name and billing details of your business and the information you give us about your property in order to issue the invoice and deliver the service. Payment is made by bank transfer to our account; we see only what your bank shows on the incoming transfer (payer name, reference and amount), never card details. Invoices and payment records are kept for as long as accounting and tax law requires. Legal basis: performance of the contract and our legal obligations on invoicing and tax.

Project data. To build your site we hold the material you send us: photos, property details, rates, your domain and email settings and our correspondence. Some of it may identify you or people in the photos. Legal basis: performance of the contract.

Analytics on this site. We use Google Analytics 4 to understand how visitors use directbookingexperts.co: pages viewed, approximate location, device and browser, and the source of the visit. Google sets cookies for this and IP addresses are truncated before storage. Legal basis: our legitimate interest in understanding and improving the site. You can block analytics with your browser settings or Google’s opt-out add-on.

Server logs. Our hosting provider records IP addresses, request times and browser details for security and to keep the site running. Legal basis: legitimate interest.

Language preference. We set one cookie, NEXT_LOCALE, so the site opens in the language you chose. It contains nothing but the language code and is strictly necessary.

3. Data on the websites we build for clients

The booking sites we build belong to our clients. Enquiries that guests send through those sites go to the property owner, who is the controller of that data. Where we host the site and its enquiry form, we process guest data on the owner’s behalf and instructions, as a processor. We install analytics on those sites so we can produce the monthly reports described in our terms; those reports contain aggregate figures, not individual guest data. Our processing on behalf of clients is limited to what is needed to host, secure and maintain the site and to count enquiries; we do not use guest data for our own purposes.

4. Who we share data with

We share personal data only with providers we need to run the service, each bound by contract:

  • Our bank, for receiving bank transfers, and our accountant, for invoicing and tax records, in North Macedonia.
  • Vercel Inc. (hosting of this site) and our hosting providers for client sites, in the EU and United States.
  • Amazon Web Services (email relay for the contact form), EU region.
  • Google LLC (Google Analytics, Google Workspace email), United States.
  • Domain registrars and email providers used to set up your site.
  • Authorities or advisers where the law requires it or to defend a legal claim.

Some of these providers are outside the European Economic Area and North Macedonia. Where that is the case we rely on adequacy decisions (such as the EU-US Data Privacy Framework for certified US providers) or on the European Commission’s standard contractual clauses. We do not sell personal data.

5. How long we keep it

  • Enquiries that do not lead to a purchase: up to 24 months from the last contact, then deleted.
  • Client and project data: for the duration of the project and any monthly plan, and for 5 years after the last payment to meet accounting and tax obligations and to handle any claims.
  • Analytics data: 14 months, the retention period set in Google Analytics.
  • Server logs: up to 30 days.

6. Your rights

You can ask us for a copy of the personal data we hold about you, ask us to correct or delete it, restrict or object to how we use it, and receive it in a portable format. Where we rely on your consent you can withdraw it at any time. Write to contact@directbookingexperts.co and we will respond within one month. We may ask you to confirm your identity first.

If you are not satisfied with our answer, you can complain to the Personal Data Protection Agency of the Republic of North Macedonia or, if you live in the EU, to the data protection authority in your country.

7. Security

Data is transmitted over HTTPS and stored with providers that offer encryption at rest and access controls. Access to client data inside our team is limited to the people working on your project. No system is perfectly secure; if a breach affects your data we will inform you and, where required, the supervisory authority without undue delay.

8. Children

Our service is for accommodation businesses. We do not knowingly collect personal data from anyone under 16, and we will delete it if we learn we have.

9. Changes and contact

We may update this policy as our service or the law changes; the date at the top shows the current version. Material changes will be announced on this page. Our terms of service describe the service itself.
